Ring Fenced ("we", "us") operates the Ring Fenced call screening service. We act as data controller for information you provide when creating an account and using the service.

2. What we collect

• Account information: name, email address, password (hashed)
• Call data: call transcripts, recordings (Pro/Team), risk scores, caller metadata
• Usage data: agent configuration, screening rules, forwarding numbers
• Technical data: IP addresses, browser type, access logs
• Payment data: handled by our payment processor — we do not store card details

3. How we use your data

• To provide and operate the call screening service
• To generate AI risk scores for incoming calls
• To send you call notifications and summaries
• To detect and prevent fraud and abuse
• To comply with legal obligations

We do not sell your data. We do not use call content for advertising.

4. Legal basis (UK/EU)

• Contract: processing necessary to provide the service you signed up for
• Legitimate interests: security, fraud prevention, service improvement
• Legal obligation: where required by law
• Consent: where you have given specific consent (e.g. optional analytics)

5. Data retention

See our Security & Privacy page for full retention periods. In summary: call transcripts are retained for 90 days by default; recordings for 30 days. You can delete records at any time.

6. Sharing and sub-processors

We share data with a limited set of trusted sub-processors to provide the service, including telephony infrastructure and cloud hosting providers. Each is bound by a data processing agreement. We do not share data with third parties for their own purposes.

7. Your rights

Under UK GDPR and equivalent legislation you have the right to:

• Access a copy of your personal data
• Correct inaccurate personal data
• Request erasure of your personal data
• Object to or restrict processing
• Data portability (where applicable)
• Lodge a complaint with the ICO (ico.org.uk)

8. Cookies

Ring Fenced uses only essential cookies required for authentication and session management. We do not use tracking or advertising cookies.

9. Changes to this policy

We may update this policy. We will notify registered users of material changes. The "last updated" date at the top indicates when this was last revised.
